PA to Associate Heads of Department and Head of Administration and Finance

  • Diary management, using initiative to make considered judgements when juggling the demands placed on the schedule
  • Acting as the first point of contact for visitors. Dealing effectively with postal correspondence, telephone calls and emails, identifying priority items of business for immediate attention, diverting such correspondence to other staff where appropriate and ensuring that actions are followed up expeditiously
  • Organising arrangements for meetings, including arranging appropriate catering for meetings held in the office and other venues as required 
  • Making travel, visa (if required) and accommodation arrangements, selecting the best price option for travel tickets 
  • Preparing and circulating papers, agendas, minutes and drafting briefing notes 
  • Maintaining, and improving as appropriate, record-keeping and filing systems, ensuring compliance with GDPR requirements
  • Provide administrative support on financial matters: for example, the management of travel, subsistence and other expenses invoices for travel reimbursements
  • Assisting the Head of Administration and Finance  to manage the Department’s website, with responsibility for creating staff profiles for new starters and managing profiles for current staff. Providing support and advice to members responsible for uploading and updating web content; ensure website content is appropriate, accurate and up to date.
  • Developing successful working relationships with academic and support staff colleagues across the department and in the wider University

General Office Duties

  • Providing general administrative support e.g. drafting documents, printing, binding, shredding etc
  • Carrying out regular stationery stock checks for the Anna Watts Building, New Radcliffe House and the Tinsley Building and place stationery orders with suppliers using the University finance system R12. Make recommendations with regard to alternative equipment
  • Maintaining the departmental mailing lists, adding and removing new starters and leavers as required and suggesting any improvements to the system
  • Ensuring that the office equipment (e.g. Printers and shredders) is maintained, filled and the appropriate consumables are available. Providing meter readings to suppliers
  • Providing reception cover when needed
  • Providing support to the Academic Office in the administration of the undergraduate Experimental Psychology and Psychology, Philosophy and Linguistics (PPL) during busy periods, e.g. around examinations and on-course admin
  • Updating the department Intranet (SharePoint) site as directed, ensuring that all content is appropriate, accurate and in line with the Department’s policy. Monitoring content and identifying areas that require updating/amending/deleting
